Summary

 

The Accounts Payable Specialist is responsible for accurately processing, reconciling, matching, and posting vendor invoices and credits, coordinating and working closely with the team to ensure timely vendor payments and credit memo usage. The position will monitor and resolve past due AP and vendor dispute issues, in line with the goals and objectives of the shared services department and with Oldcastle Infrastructure. This person will develop relationships with plant accountants and staff to help expedite the resolution of tickets and vendor billing discrepancies. The position will report to the AP Manager.

 

Essential Duties

 

  • Responsible for accurate and efficient manual processing and posting of high volume invoices and creating tickets for resolution by plant accounting staff.
  • Interact with vendors to resolve billing and payment issues, providing a high level of customer service.
  • Sort and process incoming mail, enter, barcode tag, and scan invoices/credit memos/statements.
  • Reconcile and post PO-matched invoices, completing an accurate 3-way match for price, quantity, and goods receipt. Reconcile and post non-PO journals/expenses as required.
  • Post intercompany journal entries and allocations (debt statements) as required.
  • Prepare/manage/file 1099 forms as required.
  • Manage vendor set up / maintenance and workflows for > 80 plant locations as required.
  • Assist in managing accuracy of vendor master data in all ERP systems.
  • Create and manage workflow tickets for > 80 plants for invoice discrepancies, including matching and GL coding.
  • Distribute weekly reports to the plants.
  • Follow up and track freight and tax issues with plant accounting and sourcing staff (e.g. excess freight charges or tax exemption resolution).
  • Prepare monthly AP aging reports for Oldcastle finance department as required. Perform analytical review and reporting within Accounts Payable.
  • Perform AP closing duties as required.
  • Support ERP and technology upgrade projects related to vendor management and AP as required 
  • Other responsibilities and duties as defined from time to time by the AP Manager.

 

Requirements 

 

  • 2+ years of related experience in high-volume accounts payable area
  • Bachelor’s Degree in Accounting, Finance, or related field a plus
  • Prior accounts payable experience, including knowledge of various vendor payment systems and industry-standard practices a plus
  • Excellent communications skills, both verbal and written
  • Ability to communicate with all levels within the organization, customers, and vendors
  • Ability to maintain accuracy in a very detailed work environment, highly detail oriented
  • Proficient in PC skills, accounting software, Internet-based programs, and MS Office Suite, especially Excel
  • Prior experience with multiple ERP platforms or accounting systems a plus
  • Prior experience with Microsoft Dynamics AX a plus
