Position Overview


Assure the effective functioning of a multi-level, leased corporate office with 200-300 employees.  Provide an efficient and safe working environment for employees by using best business practices to manage resources, services and processes to meet the needs of the company and its employees.


Key Responsibilities


  • Lead a team of full-time facilities staff and outsourced vendors to ensure the smooth and safe operations of the office
  • Develop and implement a facility management program including preventative maintenance and life-cycle requirements, including conducting and documenting facility inspections.
  • Ensure compliance with health and safety standards and industry codes.
  • Allocate and manage facility space for maximum efficiency while also coordinating intra-office moves
  • Supervise maintenance and repair of facilities and equipment; oversee facility refurbishment and renovations
  • Plan and manage facility central services such as reception, security, cleaning, catering, waste disposal and parking that are rendered internally or by vendors.
  • Implement best practice processes to increase efficiencies
  • Obtain quotes and tenders from vendors and suppliers, manage, negotiate and review service contracts, and supervision of work completed by contractors and vendors; manage all vendor and contractor relationships.
  • Manage all budgets tied to the maintenance of the facility, while also managing all expenses and payments to insure contract compliance.
  • Management of a team to insure proper staffing levels at all times while also developing and managing the performance of the staff.
  • Generate and present regular reports and reviews of facility-related budgets, finances, contracts, expenditures and purchases.
  • Develop and implement cost reduction initiatives
  • Advise on and monitor energy efficiency and oversee environmental health and safety
  • Assure security of the facility while responding to facility and equipment alarms and system failures
  • Perform other duties as assigned


Job Requirements


  • Bachelors’ Degree or equivalent experience.
  • 5+ years of facilities management experience in a corporate/office setting
  • Project and vendor management experience
  • Working knowledge of electrical and mechanical systems
  • Sound knowledge of health, safety and environmental regulations
  • Experience in construction, maintenance and all facets of facility operation
  • Supervisory/Management experience
  • Experience with MS Office suite

  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision and depth perception. 


Work Environment 


  • The employee must be able to work above and beyond normal business hours with the ability to be on call 24/7.
  • Office is generally a quiet office environment.
