Position Overview

This position is responsible for supporting the basic administrative functions of the Human Resources and Safety department.  The individual will work with the Human Resources Manager and other team members to maximize the efficiency of the department in support of the organizational goals and standards.

 

Key Responsibilities (Essential Duties and Functions)

  • Assist Human Resource and Safety Department with various clerical needs; i.e.; letter compositions, responding to inquiries and other daily office administrative responsibilities.
  • Ensure proper paperwork is completed and forwarded to appropriate personnel and managers.
  • Assist Human Resources Manager and Safety Manager with administrative responsibilities including, but not limited to, data entry, scanning, filing, tracking information, etc. in regards to routine employee forms and documentation.  Examples would include discipline forms, safety trainings and personal data changes, etc. 
  • Assist with maintenance of electronic databases and spreadsheets.
  • Process employee terminations, direct deposits, address changes and including entry, calculations and routing of appropriate paperwork.
  • Assist with meeting, maintaining and distribution of Department of Transportation requirements as it relates to driver files and drug and alcohol testing requirements.
  • Assist Human Resources Manager and Safety Manager with required training, including preparation, review and distribution.
  • Assist Human Resources Manager with the dissemination of policies and procedures as needed to employees.
  • Maintain adequate supply of human resources/ safety forms, including company policies, applications, files, safety training material etc.
  • Assist with scheduling of safety/HR training sessions and manage the attendance sheets for tracking in the VP system.
  • Provide support/back-up of incoming phone calls relating to human resources and safety as needed.  
  • Maintain professional demeanor in dealing with critical/confidential information; restricts discussion/knowledge of activity to a “need to know” basis.
  • Assist with the maintenance and creation of DOT folders, safety logs, files and training material.
  • Manage the auditing of all HR and safety files to ensure legal compliance.
  • Run occasional errands as they relate to each department needs.
  • Complete project work as assigned in a timely basis
  • Regular and predictable attendance at assigned times is required. 
  • Assist with workers’ compensation files, OSHA documentation and Safety orientation as needed.
  • Assist with the maintenance, filing and auditing of various safety logs, files, reports and records.
  • Other duties as may be assigned. 

     

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Education/Experience

  • Prior HR and or safety work experience
  • High School diploma or general education degree (GED) required.
  • 1-3 years related experience in an office setting, performing administrative tasks. 
  • Experience in a construction environment preferred.
  • Must be bilingual - English/Spanish

 

 

  • Work Requirements

  • Must be proficient in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Must be 18 years in age or older.
  • Must pass pre-employment physical, drug screen and criminal background check.
  • Must possess a valid driver’s license.
  • Able to safely drive a vehicle.
  • Regular required attendance and reporting ready to begin work at the designated start time.
  • Strict adherence to safety requirements and procedures as per company policy.
  • Willingness to work in a team environment and assist co-workers or supervisors with other duties as required.
  • Must have a valid driver’s license.
  • Must be willing to travel and work away from home when required.
  • Must be willing to work nights and weekends when necessary.
  • Individuals are required to wear personal protective equipment (PPE) in designated operations and production areas as stated by OSHA and/or MSHA.
  • Compliance with all OSHA and/or MSHA regulations.

     

    Knowledge/Skill Requirements

  • Highly developed verbal and written communication skills and an ability to work with Management
  • Strong problem solving skills preferred.
  • Ability to work independently.
  • Ability to perform under deadline pressure.
  • Ability to understand and follow complex verbal and written instructions.
  • Ability to meet attendance schedule with dependability and consistency.
  • High standard of ethics, integrity, and trust.   

     

    Physical Requirements

    The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • May occasionally lift move/carry up to 10 lbs. and occasionally use exertion forces of pushing/pulling of up to 10 lbs.
  • Frequently required to sit, stand, walk, talk and hear, use hands and fingers to manipulate objects for extended periods of time.
  • Vision abilities (with correction) include close, distance, peripheral, depth, and the ability to adjust focus.

 

Work Environment

  • Standard office environment.
  • Tempo is fast-paced with deadlines.
  • The noise level in some areas of the work environment may be moderate.
