SUMMARY

Prepares and processes hourly employee payroll. Assists in cement shipment logistics with the Shipping Supervisor and regional office, maintains shipping records, processes new orders, and reconciles separate automated shipping systems. Serves as receptionist and provides backup to the Administrative Coordinator. Performs general office duties.  Works from general supervision on routine duties with standard policies and procedures.  Refers problems and questions to supervisor.

 

ESSENTIAL JOB FUNCTIONS

  • Receive and account for all time cards from supervisors on a daily basis.  Verify timecard information and review for adherence to collective bargaining agreement. Work with management personnel to resolve issues.
  • Accurately complete time entry and submit to corporate office in accordance with strict deadlines.  Occasionally work overtime and/or holidays to comply with required timeframes.
  • Assist employees with payroll and employee benefit questions.
  • Organize and reconcile daily shipping documents and system reports.  Maintain internal shipping reports.  Distribute reports as assigned internally and to regional office.  Coordinate and communicate with managers, regional office, customers and bulk loaders regarding sales and/or shipping issues.
  • Perform general office duties, including but not limited to: serve as office receptionist, maintain and assist staff with office equipment, monitor and order office supplies, provide support to management staff as requested.
  • Serve as backup to Administrative Coordinator for accounts payable, employee & public relations, administration of union job bidding process, maintain personnel files, safety program support and other accounting, procurement or general plant support as needed.

  • Possess or obtain Notary commission and bonding and provide Notary services for plant personnel.

REQUIRED MINIMUM KNOWLEDGE, SKILLS & ABILITIES

Ability to respectfully resolve issues with employees and customers. Knowledge of general office practices and procedures.  Knowledge of grammar, spelling and punctuation. Ability to effectively communicate both verbally and in writing.  Proficiency with Word, Excel and automated payroll or other database systems. Knowledge of operations and maintenance of general office equipment such as computer printers, copy/scan/fax machine, and postage machine. Ability to add, subtract, multiply and divide.  Ability to pay close attention to detail with minimal errors.  Knowledge of processing payroll under the terms of a collective bargaining agreement preferred.

 

Education

High school graduation and one year technical training or equivalent preferred.

 

Experience

Two years experience preferred performing payroll, accounts payable, shipping, secretarial, receptionist and/or related administrative support functions.
