The Finch West LRT is a light rail transit project that will bring 11 kilometers of modern, reliable rapid transit to northwest Toronto. As a key partner in the Finch West LRT project, Dufferin Construction, a division of CRH Canada is looking for an  Office Administrator to join the team!   We are one of the largest heavy civil engineering contractors in the industry, employing over 1000 people. Responsibilities:   #LI-SS1

  • Greet staff and visitors to the office; ensure visitors sign in as well as mail/courier activities.
  • Provide administrate support to the team as well as coordinating schedules, appointments, reservations and travel arrangements, if needed
  • Organize meetings and presentations involving senior executives when required
  • Prepare materials for meetings (including food/coffee) as well as communication of sensitive information to senior management.
  • Prepare accurate and timely expense reports for assigned executives.
  • Assist colleagues organize couriers as required.
  • Support project tracking office cost and forecasting office budget.
  • Order supplies, provide procurement, organize catering, and transportation
  • Conduct clerical duties, including filing, answering phone inquires, and responding to emails
  • Maintain and update calendar and contacts through Outlook
  • Ensure the overall office environment is in good stand
  • Take on the “point of contact” role for all parties in relation to office operations (landlord, cleaners, suppliers).
  • Arrange meetings for staff including sending out notices, presentations and agendas.
  • Maintain tracking sheets for items in relation to employees’ taxable benefits, and others as needed.
  • Ensure continuous improvements are applied within areas of responsibility
  • Create and/or maintain proper documentation for processes within areas of responsibility
  • Participate in ad-hoc projects and initiatives as required

Working Conditions:

  • Monday to Friday 7.30AM to 5.00PM
  • Daily exposure to construction environment

Experience & Educational Requirements: 

  • Minimum of 3 years of related administration experience
  • Demonstrated proficiency with Microsoft Office products

  • Excellent organizational skills, which will be utilized to meet multiple deadlines and handle multiple tasks within a high-pressure work environment
