Dufferin Construction Company, a division of CRH Canada Group Inc. established in 1912, is one of the largest heavy civil engineering contractors in the industry, and we are continuing to grow!  Due to continued and rapid growth within our Joint Ventures department, we are looking for a Senior Document Control Administrator. Based out of the Woodbridge, ON project office, this position will report to the on-site Document Control Manager.

  • Have a solid background in providing exceptional customer service to both internal and external stakeholders.

Responsibilities:   CRH18      #LI-SS1

  • Data entry in all required fields for the applicable Project Documentation.
  • Transmittal Management (Team Quality/Accuracy Checking).
  • Document Control Reports (Basic Filters) including monthly progress status reports for both internal and external documentation.
  • Uploading project documentation using 4Projects/SharePoint.
  • Transferring/receiving of project documentation with client systems.
  • Ensure timely transfer of electronic files/hardcopy documentation to/from clients and third party vendors.
  • Maintain document Control files (hard/soft copy).
  • Document Control filing for soft and hard copies of Project documentation and emails as required by the Lead Document Controller.
  • Answer and direct all incoming calls and visitors.
  • Answer and direct incoming calls in a prompt, professional and courteous manner.
  • Book and coordinate meetings.
  • Order all office supplies.
  • Manage incoming and outgoing mail, various spreadsheets and training materials.
  • Support site team in all administrative functions.

Qualifications:

  • Post-Secondary Degree or Diploma in Business Administration or related field
  • Records and Information Management Certification is an asset.
  • 3 – 5 years of experience in document control utilizing a database and file management software.

  • Proficiency in MS Office (Word, Excel, Power Point) and MS Outlook.
  • Excellent interpersonal, communication and leadership skills.
  • Ability to make timely and effective decisions.
  • Ability to work under pressure and adaptable to change.
  • Strong planning and organizational skills.
  • Excellent problem solving and troubleshooting experience.
  • Strong customer orientation.
